What you’ll do (the fun stuff)
- Schedule like a pro: Book/allocate jobs in ServiceM8 (or similar), set priorities, track ETAs, and keep statuses tidy.
- Bill with confidence: Prepare and submit claims via client billing portals (e.g., FM/service portals), attach evidence, match POs, chase approvals, resolve rejections.
- Keep jobs moving: Liaise with techs on access, safety docs, and job readiness; remove blockers early.
- Own the admin: Compile tech notes, check completeness, hand over to invoicing.
- Parts & logistics: Raise POs, order parts, track deliveries and returns.
- Customer comms: Confirm bookings, send updates, and close the loop post-job.
- Extras when needed: Simple quotes/variations using templates and price books.
What you’ll bring
- Proven Service Coordinator / Scheduler experience (security, electrical, HVAC, or trades ideal).
- Hands-on with ServiceM8 or a similar platform (Simpro, AroFlo, Fergus, ServiceTitan).
- Billing portal know-how—claims, uploads, PO matching, and tidy audit trails.
- Strong written/verbal comms, sharp attention to detail, calm under competing priorities.
- Confident with Microsoft 365 and cloud apps.
- Full working rights in Australia.
