This is more than just an admin role — it’s an opportunity to become the organisational heartbeat of our practice. You’ll work closely with our Director, Tyler, and our team of therapists to ensure clients are supported, our schedules run seamlessly, and our operations continue to grow efficiently.
This position is initially part-time (2-3 days per week) but is expected to expand into a full-time role within the next 6–12 months as our services grow.
About the Role ☀️
Working 2-3 days per week (7.6 hours per day) from our Fortitude Valley office, you’ll be the first point of contact for many of our families and the go-to support for our clinical team. You’ll also provide general support to our Director, assisting with operational tasks, project coordination, and day-to-day priorities.
Key responsibilities:
- Coordinate client bookings, cancellations, and reschedules to keep therapists’ schedules full.
- Manage new enquiries, waitlists, and client onboarding.
- Respond to phone and email enquiries as soon as possible.
- Liaise with families, schools, and support coordinators to ensure smooth appointment coordination
- Provide general support to the Director with operational tasks and projects
- Assist with internal processes, documentation, and record management
- Help streamline scheduling and communication systems across the team
About You ☀️

You will have:
- Previous experience in an administrative, reception, or client services role (health/allied health experience highly regarded)
- Strong organisational and time-management skills
- Confidence in managing calendars, bookings, and client communication
- The ability to work independently and solve problems proactively
- Excellent written and verbal communication skills
- Confidence using software platforms (experience with Splose or similar practice software is a bonus)
